Pagosa Peak Open Business Manager
Position Description Duties & Responsibilities
The PPOS Business Manager is responsible for the operational, financial, human resources and facility management that supports PPOS’s mission to create a community of empowered, lifelong learners by providing a multi-age learning environment designed to foster confidence, high academic achievement, and the joy of learning through original and meaningful work.
Core Responsibilities include, but are not limited to:
Operational
- Responsible for site level procurement of supplies, materials, equipment, and inventory management.
- School manager for transportation, food services, facilities maintenance, and other third party service contracts, ensuring and ongoing monitoring and implementation of contracts.
Financial
- Responsible for site level budget monitoring and management, with input into budget development.
- Run monthly close out and reconciliation of bank accounts.
- Preparation of monthly, quarterly and annual financial reports with support from the CPA. To include:
- monthly profit and loss statements, expense by vendor.
- Quarterly budget to actuals,
- Yearly budget to actuals, yearly budget in June and revisions in January.
- Documents requested for the annual audit.
- Coordinate with the school director for all federal, state, and local grant applications and reporting.
- Prepare drawdown requests for state and federal grants such as Title, READ, EASI, and ESSER.
- Manage payroll processes including timesheet process, payroll journal entries, and the financial pieces of benefits administration.
- Manage the accounts payable process including reviewing and processing purchase orders, processing payments, ensuring appropriate coding and working with staff to ensure all expenditures are in compliance with the operating budget, capital plans, contracts, and restricted funding sources.
- Oversee, in coordination with CPA, year end audits as well as any site audits from state or federal agencies.
- Provide requested documentation to Board members, finance committee members, and open records requests.
- Prepare materials in conjunction with the School Director.
- Attend all finance committee meetings, as well as school board and staff meetings upon request.
- Engage in fundraising efforts to assist the school in reaching their annual goal
Human Resources
- Oversee the processing of all new hire paperwork.
- Maintain personnel files for all employees.
- Cooperate with the School Director to implement policies and procedures at school. (e.g. compensation, vacation/sick days; recruitment screening, background checks, etc).
- Support recruitment for open positions through sourcing and screening applications, maintaining recruiting systems, drafting offer letters, providing follow-through with candidates, and reporting recruiting statistics.
- Lead employee on-boarding activities related to policies, building access, staff handbook, technology and email allocotion, and benefits enrollment.
- Implement fingerprinting-supported background checks and teaching certification of all applicable employees.
- Administer employee benefit programs, answer employee questions, support claim resolution, and maintain related systems.
- Coordinate and ensure completion of employee exit interviews. Report outcome of exit interview information to management and track/maintain data.
- Ensure compliance with applicable employment laws and regulations.
- Investigates circumstances of employee on-the-job injuries; prepares required documentation; and reports safety hazards to the School Director.
Facility
- Serve as a liaison to the Building Corporation to help ensure their financial policies are being upheld.
- Scrutinizes facility wear and tear and makes recommendations as to facility improvements.
Qualifications
- Must hold a Bachelors or Master’s degree; preferably in business administration, accounting, or finance.
